VSA Brd Mtg Minutes, May 2009

VSA Board Meeting
5/17/2009

Officers in attendance: Dave Milne, Lynn Martin, Allison Guth, Bill Strachan, Karen Klumpp, Shannon Howard

Others in Attendance: Paul Frascione
Meeting was called to order at 7:20pm.

Motion was made to approve minutes from 4/19/2009 meeting. Discussion pointed out that Kevin Miller was in attendance, and the date on the minutes was incorrect. Minutes approved with these changes.

President:

Bill worked with a lawyer to draft the contract for the Technical Director. Bill reviewed the contract with the Board. The position would commence on June 1. The duties of the Technical Director are “a la carte,” (other than the $4500 administrative fee each season) allowing us to pick and choose which activities we would like to occur over the next six months or year. It was decided that the focus for now is to get U9 boys and girls coaches in place and complete the manual so it is in hand prior to the Fall 2009 season. There was discussion about how best to communicate it to the club.

The issue of lights was discussed. The installation cost is approximately $150,000. On average, the cost for electricity is $4.50 per night per field.

We have 15 plasticades to use for the tournaments, Saturday notices, etc.

Director of Coaches: Worked on contract for Technical Director. See above for additional information. Also discussed offering an “F” licensing course later in the fall.

Treasurer Report: Board reviewed the current balance sheet. Discussed the outlay of funds still to be paid this year, and incoming funds expected. Reviewed fees and structure. Motion was made to increase fees $5 per player across the board (recreational and travel players). Motion was seconded and passed. The Board feels comfortable that there is enough money to pay the salary of a Technical Director.

Fundraising:   We need to promote our camps sponsored by VSA at Long Park. Currently, the Park Authority allows 2 camps per year with VSA getting 15%. The Park Authority gets 15% for all other camps.

The 3v3 tournament fell through, as the sponsorer was not willing to pay the fees required by the Park Authority. Instead, we will offer a U9 and U13 “Step It Up” Scrimmage Fest.

Discussed the possibility of having a VSA Fun Day, possibly on the same day as the equipment hand out for the Fall season.

Uniroyal Soccer Program was presented. Coupons would go inside the teams packets. Families can take the coupon in to Currie’s Auto and get a free soccer ball. If they buy Michelen Tires, they get $20 off and Uniroyal will give $2 per tire to VSA.

Registrar:
  • Registration opens at the end of May.
  • All Stars – VSA will pay registration fee. The teams will need to handle patches and jerseys.
  • The Don Johns need to be cleaned more frequently.

New Business: Elections for officers will be held at the June meeting (6/14/2009). The following individuals currently in office have agreed to run again for their position:

                President: Dave Milne
                Vice President: Scott Thoden
                Treasurer: Lynn Martin

The position for Secretary is currently open.

Meeting was adjourned at 8:40pm.
