VSA Board Meeting

08/16/2009

 

Officers in attendance:  Dave Milne, Allison Guth, Karen Klumpp, Kevin Driscoll, Dave Fitz, Mir Rezadoost and Bill Strachan

 

Others in attendance:  Kevin Miller and DeAnna Lindonnguyen

 

Meeting was called to order at 6:40pm.

Motion was made to approve minutes from Board meeting held on 6/14/2009.  Meeting minutes were approved.

 

New Business:

 

  • Special election was held for the Secretary position.  DeAnna Lindonnguyen agreed to run for the position and there were no other nominations from the floor.  She was approved for Secretary by a unanimous vote.
  • The U15G Blue will be playing in a national league.  Only two teams were selected from each region and they were the only team from Virginia.  The team’s first game in this league should be in December, but to play in this league a $2500 bond is required.  The team asked if the VSA board could put up the bond money which is refundable.  A motion was made to support this bond.  The motion was seconded and passed.
  • Dave Milne brought up the possibility of refinancing the note on the current turf fields to include another turf field.  This field would be located on the current field #5 space.  With the refinance including the new field, the amount of the payment would not increase.  VSA is in the process of getting a bid on changing field #5 to turf.

 

Director of Coaches:

 

  • The second draft of the recreational coaches’ manual is done and the final draft should be finished in the next two weeks.
  • Goalkeeper training will be provided by STBW for both recreational and travel soccer teams.  This is being paid for by VSA.  The proposed start date for training is 9/11/2009.  Once this date is agreed upon, an email will be sent out to coaches asking for one goalkeeper per team.
  • Coaching clinics will be provided by STBW.  The first clinic will occur after the coaches meeting on 8/29.  The clinics will be divided into age groups with each getting two sessions:  U5-U6, U8 and U10-U12.  The next clinic date to be determined for mid-season.
  • VSA has also paid for STBW to provide developmental clinics to the recreational league’s U8 and U10-U12 age groups.  They will each receive two sessions and an email will be sent out for teams to sign up for training.
  • VSA will be offering another F module coaching course on September 11 & 12.  The teacher for this course still needs to be verified.
  • Once dates for all the above training have been set, a mass email will be sent out to VSA coaches and a flyer passed out at the coaches meeting.

 

Registrar:  Registration is closed.  Currently, Allison is having a rough time finding coaches and assistant coaches for U6 teams.  She is also having trouble finding managers for the Tuesday/Thursday U5 teams.  This season the SFL games will start at 8:30am and the recreational games starting at 9:00am.

 

Director of Referees:

 

  • Kevin brought up concerns about an incident that happened at one of the last recreational matches.  Currently, VSA has no rules about coaches sitting out the next game after being ejected.  The league needs to update its rules and lay out disciplinary actions for both coaches and spectators.  This rule needs to have strong language to the consequence of the action(s).    
  • Rule proposed pulled from SFL rule on sideline control.  Kevin Miller added that SFL has additional rules depending on the severity of the incident.  Bill Strachan said he will research the rules and agreed that they should include spectators. 
  • It was also agreed that VSA needs to have a code of conduct for the recreational league.  Maybe put this procedure in to have the parents agree to this code of conduct during the registration process.
  • The board decided that this coach will have a one game suspension and will be on probation.  If another situation occurs under the VSA banner, recreational or travel, it will be a five game suspension.  Dave will send an email to the coach about this action.

 

Treasurer Report:

 

  • The board reviewed the current Profit & Loss and Balance sheet.  The current P&L contains $175K in registration fees for the Fall season, of which $35K from travel still need to be collected and of that $5K was fronted by VSA for the new U9 travel teams.  In the total expenses the new Technical Director fee was not included.
  • VSA needs a fundraising committee and fundraising options were discussed.  Some options would be advertising on the turf field fencing during the season, having a standard sponsor packet and a sponsor page on the website.
  • The board agreed that VSA needs to keep the Bull Run tournament for raising money.
  • John Wagoner came to give an update to the board on the golf tournament.  VSA raised approximately $7750 from the tournament.  It was discussed that some travel teams had complaints about the lack of information on the tournament.  They said that they were not well informed about the nonparticipation penalty of $300 and that 25% of the profit would be going to the U15G team. 
  • John was thanked by the board for all his hard work on this fundraising effort.

 

Director of Fields:   

 

  • Shannon will not be able to line the fields.  The board needs to find someone to take this over, because it is very expensive to hire someone.
  • It was brought up that travel teams could line the fields to work off monies owed to VSA.  Travel teams that owe money will be sent an email about lining the fields.  Dave Fitz said that he would line Braemar, Victory, and Cedar Point.
  • Fields are needed for State Cup play.  They prefer to use the turf field.
  • The coming of new state rules about securing the goals and holding the coaches accountable were discussed.

 

Meeting was adjourned at 9:15pm.
